Club Assembly
President Michelle announced that the meeting is a club assembly which is partly structured and partly unstructured. Highlight of the goals for the year was a starting point. The crystal palace is a possible project for the club. The structure of the club assembly was then announced with breakout sessions to explore where the club is at the moment in terms of making our club more visible. It would help garner more support for our projects and also acquiring lots of new members.
Goals: Build on our current strengths and aspirations. Increase our visibility on social media, news media and in the eild wherever there is an opportunities in the 21st century. We also need to project the fun we have while carrying out our projects as we go out there and help the world. We will also be supporting District goal for the year, sustainability.

The committee wants to focus on visibility of Rotary. Visible to our community through channels such as
- Promote events.
- Organised calendar and color coded events.
- Utilise current member networks from the club to promoting club activities.
- Revamping the Rotary website,
- Growing external mail list,
- Social media advertising.
- Tapping into real life social network and
- Printed media coverage and
- At event promotion – Rotary T shirts, now available online at Rotary international website.
- Engage with members using surveys to get feedback and assistance.

John:
Kay Valley tree planting on 10th September at 1000 hours. Marshalls Avenue is the meeting place. About 2000 trees to be planted overall, 4 other clubs are invited. There will be sausage sizzle on offer. We are also doing bait replenishing and if anyone is keen, please put your name on the list.
We raised $2,630 from the Whiskey tasting.

Rosters: Wayne is the technical setup every week. David, Steven, Indeevar and Greg on rotation for Bulletin. If someone has put forward a speaker, then that person will be doing the speaker introduction. Attendance recorder will also be doing the parting thought.
Neil:
Share the warmth day, Friday 18th August 2023. Members are encouraged to participate in the event by Good neighbour and supported by Bay of Plenty and Synergy technology. Wear as many warm clothes as possible and bring donations please to raise funds.
Jim:
Issues are that we have 2 bank accounts. If you are buying things such as tickets for events, can you please amend the reference details so that money can be transferred to the right account. Work is in progress to make it one account. We also have two trust accounts, one for projects and other one is the investment.
Michelle: New system for attendance at the meetings. We are suggesting for people who are there to just attend the meeting and not have breakfast will pay $14. If you are having breakfast, then it will be $26 plus $2 donation if you wish. Feedback to the president please.
We are asked to promote Tauranga Terapa event, Night on Broadway. A fabulous night of live entertainment with special guest. All proceeds going to Tauranga Intermediate School.
The Crystal palace project. It is a relocatable venue with chandeliers, banquette seat and sand-blasted windows. Event runs on the back of a controversial speaker and a yummy breakfast. Last event was ran by Sally Morrison and grossed $26,000. Running costs were about $9,000. Not a cheap event to run but revenue is also substantial. Last ticket pricing was $55 in 2019. Considering inflation it might go up to $75. The cost of ticket is a concern however we can market it as a speaker event with breakfast as a complementary perk. We also need sponsors that generate revenue. Last time it was organizations like Craigs, Bayleys, Generation and Rotary itself through District funding. We can also look at auction. Barry offered help in getting a fun auctioneer.
We cover the cost of catered breakfast, tables, chairs, sell tickets, gather sponsors, promote the event. The event is also promoted by Arts Festival Trust. Sponsors get to support a great cause. Last time it was support for Life a plenty charitable trust for women and children.
There is a huge opportunity for us to take this project and make it a success as we have done in the past. It is subject to finding a leader to please come forward and
take charge.

Breakout event: Our club is about 24 years old and it appears that we are past the prime and early retirement stage if compared to human life cycle. Essentially, we need to adapt to change. Each table to plan and elevate a speech for a person they meet who has no idea about Rotary. 30 second speech explaining Rotary club.
- We are one of the top 10 charitable fund raisers in the world, it’s a group where interesting and like-minded people get together and have fun. It is a worldwide organization and is world’s biggest club. It is responsible for major charitable initiatives such as Polio eradication.
- We need to create sense of FOMO, Altruism, fun, great way to end the working week and have great time.
- A service club, great place to meet people, create and run interesting projects to raise money for the community. We also add to the donations from our own resources. Projects such as polio eradication, youth projects, international shelter box and a great way to end the week.
- Helping people in the community, perception of other people about rotary needs to change and that it is modernising. Fun and good way to help people while sharing breakfast.
- Comradery, community, people from different walks of life getting together, meeting people, breakfast and speakers.
- Whanaungatanga, Manaakitanga, there is some diversity and we need YOU to bring some more. If you can help then you should. Get involved in community as much or as little as you are able and it’s a vehicle to get engaged with the community.
- Great club, service organization, established in 1905, a global foundation, we offer friendships in community and being part of the business community experience.
The challenge is for anyone who wishes to write an elevator speech to share in our meetings. There will be voting for the best one and a prize for the winner.
